The Role

The Invoicing Specialist is responsible for the invoicing activities in relation to the business departments/cost centres supported by Working Capital team, and to continuously strive to improve the accuracy and speed of invoicing activity for the department.

This is a 12 months fixed term contract and is on a hybrid working arrangement basis, requiring 2-3 days/ week in the office. 

Key Responsibilities

  • Assist Working Capital team in accurately raising and timely issuing fee invoices.
  • Hold Monthly meetings with the adjusters to discuss outstanding WIP
  • Drive the achievement of billing targets by proactively managing work in progress, ensuring timely invoicing, and monitoring performance against agreed objectives.
  • Expected to work from the office at least two days per week to support team collaboration and business objectives.
  • Reviewing time and disbursements recorded on for missing time, errors and discrepancies, before preparation of draft invoice, including any observations/recommendations for review.
  • Editing of draft invoices before confirmation of final version.
  • Support the E Billing process established with our key clients.
  • Understanding of Insurance Policy Details ‘IPD’ (policy/slip/market data) in the relevant case files and invoice accordingly.
  • Respond to a high volume of daily e-mails, client inquiries and discrepancies and flag and follow up on resolutions.
  • Collaborate with the wider Working Capital team to address queries impacting our ability to collect fees once invoiced.
  • Manage the daily upload of multi-currency invoices from our Adjusters and assist Credit Controllers on invoicing queries.
  • Issue WIP lists
  • Assist Finance Business Partners on their Finance Issues when required.
  • Carry out Ad Hoc duties and tasks that are allocated to you at the discretion of management and that are within your capabilities and within the scope of your post.

Required Skills

  • Solid experience and working knowledge of Invoicing/Billing ideally with some experience in Insurance.
  • Strong IT skills including Microsoft Excel, Outlook, Teams etc.
  • Personable with an ability to build strong relationships with people, both internally and externally.
  • Team player with a can-do attitude who is also comfortable working independently without supervision.
  • Strong written and verbal communication skills with a good telephone manner.
  • Accuracy, numeracy and attention to detail.
  • Strong organisational skills, ability to prioritise and work to tight deadlines.
  • Results orientated individual who takes pride in the performance of the team and delivering high-quality outcomes.

  • Invoicing and cash collection results against monthly, quarterly and annual targets.
  • Drive invoicing activity and meet invoice KPI’s.
  • IPD understanding and translation.
  • Adherence to accuracy metrics.
  • Reduced Working Capital at risk, meeting the organisation’s key financial metrics.
